Position Overview:
We are seeking a motivated Billing, evenue, and Contract & AR specialist to play a vital role in maintaining the integrity and efficiency of our financial operations. This position is responsible for managing accurate billing, revenue recognition, customer contract administration, accounts receivable, and sales tax compliance. You will work with tools such as QuickBooks, Avalara, HubSpot, PandaDoc, and spreadsheets, leveraging automation to enhance financial operational effectiveness. Key Responsibilities:
- Manage the end-to-end billing process for SaaS subscriptions, professional services, hardware, shipping, and travel expenses based on customer contracts.
- Optimize billing workflows to ensure timely and accurate revenue recognition immediately after contract signing.
- Address customer inquiries regarding invoices, payment terms, methods, and invoiced users promptly and professionally.
- Maintain and update the customer contract database, ensuring all invoiced/contracted SaaS seats, modules, and contract terms are accurate and current.
- Handle subscription complexities, including usage-based billing and revenue recognition aligned with SaaS standards; regularly track active users and usage to invoice correctly.
- Coordinate with cross-functional teams to remind them about contract renewals, invoicing delays, unclear terms, and discrepancies. Collaborate closely with sales, customer success, and finance teams to manage renewals, upgrades, cancellations, and billing inquiries.
- Pull and analyze monthly SaaS financial reports (MRR, ARR, CARR, churn, expansions), and coordinate with cross-functional teams to support revenue tracking and forecasting.
- Explore and implement automation tools to streamline billing processes and
- minimize errors, enhancing contract management.
- Oversee accounts receivable operations, ensuring timely and accurate collections.
- Implement formal follow-up processes for past-due invoices using QuickBooks, email, and phone calls, and escalate issues to customer success teams as needed.
- Respond to customer billing questions related to payments and resolve disputes efficiently.
- Escalate unresolved payment issues appropriately to maintain healthy cash flow.
- Manage and oversee multi-state U.S. sales tax filings using Avalara, ensuring accurate tax calculation and compliance.
- Review Avalara sales tax return drafts and reconcile with QuickBooks invoices and general ledger balances.
- Understand taxability nuances of SaaS, services, hardware bundles, and custom-developed solutions to apply the correct tax codes.
- Monitor sales tax law changes in relevant jurisdictions and maintain seamless integration between accounting and tax software.
- Communicate with state tax authorities as needed to resolve inquiries or compliance issues.
- Lead security efforts by enforcing policies, guiding staff, improving controls, ensuring compliance with standards like SOC 2, and managing audits and risk mitigation.
Requirements, Qualifications
- Bachelor’s or Master’s degree in accounting or a related field
- Minimum 1-2 years of experience in financial operations, preferably in a SaaS company
- Proficient in QuickBooks, Avalara, HubSpot, PandaDoc, and Google Sheets.
- Strong verbal and written communication skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent organizational, detail-oriented and problem-solving skills; proactive and eager to learn and implement process improvements. Able to bring solutions for the given task
Work Model:
- Hybrid work arrangements (combination of office and remote).
- Availability until 12:15 PM PST (1:00 AM NPT); shifts can be discussed.
